MOCK MEET details
First of all, thank you for your grace and patience as we figure out our new systems with a new coach and all that entails.
This meet will be run like a normal meet (minus IM and relays). The meet starts at 5pm and should be over by 7pm. Please try to have all swimmers there as close to 5pm as possible. We will be using our new timing system! We still need 5 more timers for the Mock Meet - this is a really easy job with our new time drops, no stop watch, no clipboard, just a button to push when the swimmer touches the wall!
Heat Sheets/Entry Reports
heat sheet = list in order of EVENT
entry report = list by SWIMMER NAME
The heat sheet and the entry report have been posted on the swimtopia website. On the website they are found under the MOCK MEET listing on the right hand side of the homepage, or they can be found by going to CALENDAR and scrolling down to the Mock Meet. It is a PDF file that should show up as an attachment to the Mock Meet.
If you are on the app, I believe you will have to "visit the website" which is an option at the top of the home screen. From there you will do the same as stated above.
If you have the pro version of the app, you can see the heat sheet IN the actual app. You will click on the MOCK MEET on the home screen. At first you will only see your swimmer's events. If you click on "events" at the bottom, you will be able to click on any event and see the heat sheet for that event. I do not believe you can see the entry report in the app but your swimmer and their events should be listed on your homepage.
If you are having issues, try to find me (Henley) at practice - a lot of this is easier to show you than it is to type out instructions for. This is how the heat sheets and entry reports will be posted for every meet this year. Use this opportunity to look and figure out how to find them!
Heat Seeding
Clearly we clicked on something wrong and the mock meet is seeded in the opposite order than what we are used to. Usually our fastest swimmers are in the first heats but this meet is created so that the fastest swimmers are in the last heats. No big deal, this is why we are having a mock meet, to work out these things before we have a real meet!! Yes, the regular meets will be seeded in the usual way, fastest swimmers in the first heats and organized by time.
Previous Times
You will notice on the heat sheet that your swimmer's times from last year are listed, at least some of them are. For some reason not everyone's times transferred over from the old software. This is another reason we have the Mock Meet - this way we will have a time for every swimmer before the first meet. If the Mock Meet is rained out and we do not get times, no big deal. Our first meet may be a little off with heat seeding/organization but after our first meet everyone should have a time and we will be good to go!
Rainy Forecast
There is rain in the forecast for Thursday. I know you are tired of reading this but if you do not have the app installed on your phone and the notifications turned on - you will not receive weather updates, cancellations (not to mention RSVP reminders, posting of heat sheet notifications) and more. Please install the app and turn your notifications ON.
RSVP
If you've made it this far, I'm just going to keep going. . . every swimmer will be required to RSVP for each meet this summer. A notification and email will be sent out when the meet opens and notifying you of when the meet will close. Your swimmer will not be entered if you forget to RSVP. This is a different process from last year so please try to pay attention and be diligent about reading your alerts and emails.
Notes for the Coach
Can't stay for the whole meet? Going to be late to the meet? Want to try to swim butterfly? These notifications will all be able to be conveyed in the RSVP form. This is a much better way to communicate this information than emailing or telling a coach verbally b/c the notes will show up in they system as the coaches are actually making the heat sheets.
